Purposes and Legal Bases for Processing Personal Data


The Personal Data Controller processes your personal data for the following purposes and within the following scope:

  • Conference Registration – we process the data provided in the registration form for the purpose of conference registration.
  • Provision of services not requiring registration – such as browsing the Website, using the content search engine or other services. In this case, we process data related to your activity on the Website, including the content and services viewed, session data, operating system, browser type, location data, unique device ID, and IP address.
  • Statistics, usability, and security – to compile statistics on the use of Website functionalities, facilitate the use of the Website, and ensure IT security. For these purposes, we process data concerning your activity on the Website, time spent on individual pages, search history, location, IP address, device ID, browser data, and operating system information.
  • Establishing, pursuing, and defending legal claims – we may process personal data provided during registration, service orders, and other data necessary to establish, pursue, enforce, or defend legal claims, or data resulting from legal obligations, court orders, or other legal procedures.
  • Handling complaints, requests, and inquiries – we process personal data provided in complaints, requests, and inquiries, as well as certain data submitted during registration and information concerning the services that are the subject of the complaint or request, including documents attached thereto.

The Personal Data Controller processes the following categories of personal data:

  • data required for Registration;
  • data concerning complaints, requests, and inquiries;

Voluntary Provision of Personal Data

Providing the required personal data is voluntary; however, it is a condition for the provision of services by the Personal Data Controller through the Website.

Data Retention Period

Personal data will be processed for the period necessary to provide services, conduct marketing activities, and perform other services for the User. Personal data will be deleted in the following cases:

  • when the data subject requests their deletion or withdraws consent;
  • when the data subject remains inactive for more than 10 years;
  • upon obtaining information that the stored data are outdated or inaccurate.
    Certain data, including e-mail address and full name, may be retained for an additional period of 3 years for evidentiary purposes, handling complaints and claims related to services provided through the Website. Such data will not be used for marketing purposes.

Data relating to non-logged-in Users are retained for the lifespan of cookies stored on the User’s device or until they are deleted by the User.
Personal data relating to your preferences, behavior, and marketing choices may be used as a basis for automated decision-making aimed at determining sales opportunities for the Website.

Where necessary, this period may be extended by a further two months due to the complexity or number of requests. In such cases, you will be informed of the extension and the reasons for the delay within one month of receiving the request.

You have the right to obtain confirmation from the Personal Data Controller as to whether your personal data are being processed.

Where your personal data are processed, you have the right to:

  • access your personal data;
  • obtain information regarding the purposes of processing, categories of personal data, recipients or categories of recipients, the planned retention period, criteria used to determine that period, your rights under the GDPR, the right to lodge a complaint with a supervisory authority, the source of the data, automated decision-making including profiling, and safeguards applied in connection with transfers outside the European Union;
  • obtain a copy of your personal data.

Right to Rectification (Article 16 GDPR)

If your personal data are inaccurate, you have the right to request their correction without undue delay.

You also have the right to request the completion of incomplete personal data.

If you have registered on the Website, you may correct and update your personal data independently after logging into your account.

Right to Erasure ("Right to be Forgotten") (Article 17 GDPR)

You have the right to request the deletion of your personal data where:

  • the personal data are no longer necessary for the purposes for which they were collected or otherwise processed;
  • you withdraw consent on which processing is based;
  • your personal data have been processed unlawfully;
  • you object to processing for direct marketing purposes, including profiling;
  • you object to processing based on public interest tasks or legitimate interests pursued by the Controller or a third party.

Despite a request for deletion, the Personal Data Controller may continue processing data where necessary for the establishment, exercise, or defense of legal claims.

Right to Restriction of Processing of Personal Data (Article 18 GDPR)

You have the right to request the restriction of the processing of your personal data where:

  • you contest the accuracy of your personal data – the Personal Data Controller shall restrict the processing of your personal data for a period enabling the verification of the accuracy of such data;
  • the processing of your data is unlawful and, instead of requesting the erasure of your personal data, you request the restriction of their processing;
  • the Personal Data Controller no longer needs your personal data for processing purposes, but you require them for the establishment, exercise, or defense of legal claims;
  • you have objected to the processing of your personal data – pending verification whether the legitimate grounds of the Personal Data Controller override the grounds for your objection.

Right to Object to the Processing of Personal Data (Article 21 GDPR)

You have the right to object at any time to the processing of your personal data, including profiling, where such processing is related to:

  • processing necessary for the performance of a task carried out in the public interest or for the purposes of legitimate interests pursued by the Personal Data Controller or a third party;
  • processing for direct marketing purposes.

Right to Data Portability (Article 20 GDPR)

You have the right to receive your personal data from the Personal Data Controller in a structured, commonly used, and machine-readable format and to transmit those data to another controller.

You also have the right to request that the Personal Data Controller transmit your personal data directly to another controller, where technically feasible.

Right to Withdraw Consent

You may withdraw your consent to the processing of your personal data at any time.

Withdrawal of consent shall not affect the lawfulness of processing based on consent before its withdrawal.

Complaint to the Supervisory Authority
