TERMS AND CONDITIONS
I. GENERAL PROVISIONS
- These Terms and Conditions set out the general conditions, rules, and methods for the provision of electronic services through the website www.robotyka2026.pl (hereinafter referred to as the “Website” or the “Service”) and the registration for participation in the conference entitled: 2nd International Scientific and Training Meeting “Robotics and Modern Forms of Education in Medical Professions: From Technology to Clinical Practice.”
- The Website is operated by Medisfera Sp. z o.o., with its registered office in Warsaw, Poland.
- The Service Provider may be contacted via: e-mail: biuro@medisfera.pl, telephone: +48 502 646 723, the contact form available on the Website.
- These Terms and Conditions are continuously available free of charge on the Website at www.robotyka2026.pl in a manner allowing Users to access, reproduce, and save their content by printing or storing them using the User’s IT system.
- All rights to the Website, including economic copyrights, intellectual property rights to its name, domain name, website, forms, and logos belong to the Service Provider. Their use may only take place in accordance with these Terms and Conditions.
- The Service Provider reserves the right to place advertisements concerning its own services as well as third-party goods and services on the Website in forms commonly used on the Internet. The use of such offers or services does not constitute part of the Website and is governed by the terms established by the relevant third parties.
- These Terms and Conditions specify, in particular, the rules for using the Website, the types and scope of Services, the conditions for providing Services, the conditions for concluding and terminating service agreements, and the complaint procedure.
- The Service Provider informs Users that the use of electronic services may involve risks related to the Internet, including the possibility of introducing malicious software into the User’s IT system or unauthorized access to and modification of data. To minimize these risks, Users should apply appropriate technical safeguards, including antivirus software and firewall protection.
- Separate regulations may apply to other services provided through the Website, including paid services.
II. DEFINITIONS
Website/Service – the website available at www.robotyka2026.pl, owned and administered by the Service Provider, through which Users may use Services offered by the Service Provider, including conference registration and communication via the contact form.
Service Provider – Medisfera Sp. z o.o., entered into the National Court Register under number 0000659104, with its registered office at ul. Bruzdowa 60F, 02-991 Warsaw, Poland, NIP: 9512427309, REGON: 366365063.
User – a natural person with full legal capacity entitled to use the Services available on the Website in accordance with these Terms and Conditions.
Conference Participant/Participant – a person entitled to participate in the Conference and meeting the formal registration requirements specified in the Conference description.
Conference – an in-person event such as training, a course, workshop, symposium, or another scientific or educational event for which the User may register through the Website.
Registration Form – an electronic interactive form provided by the Service Provider enabling Conference registration.
Services – services provided electronically by the Service Provider within the meaning of the Act of 18 July 2002 on the Provision of Electronic Services.
Terms and Conditions – this document.
III. RULES FOR USING THE WEBSITE
- The Service Provider enables Users to use the Services available on the Website, in particular conference registration and communication through the contact form.
- Use of the Website is permitted only in accordance with these Terms and Conditions.
- Minimum technical requirements:
a) a device with Internet access;
b) access to e-mail;
c) the latest version of a web browser with Cookies and JavaScript enabled;
d) software for reading and saving PDF files. - Users are prohibited from using the Website or Services in a manner contrary to law, public morals, third-party rights, or the legitimate interests of the Service Provider.
IV. SERVICES
- Services provided through the Website are governed by these Terms and Conditions.
- Services are generally provided free of charge, except for Conference registration fees described in Section V.
- The Service Provider offers the following free Services:
a) browsing and searching information on the Website, including conference information;
b) contacting the Service Provider via the contact form;
c) subscribing to the Newsletter. - The agreement for browsing Website content is concluded for a fixed period and terminates when the User closes the Website.
- Users may subscribe to commercial information (Newsletter) by providing a valid e-mail address and selecting the appropriate option in the Registration Form. Consent may be withdrawn at any time.
- Users may send messages via the contact form. The agreement for this service terminates upon sending the message.
V. CONFERENCE REGISTRATION
- The Service Provider enables Users to register for Conferences. Detailed information regarding the conference program, duration, scope, and participation fees is available on the Website.
- Information about Conference registration constitutes an invitation to conclude an agreement within the meaning of Article 71 of the Polish Civil Code.
- To register, the User completes all mandatory fields in the Registration Form. Registration submitted electronically constitutes an offer to conclude an agreement for paid participation in the Conference.
- The agreement is concluded once the Service Provider sends confirmation of acceptance of the registration to the User’s e-mail address.
- By registering, the User declares that all information provided is true and does not infringe third-party rights.
- A Conference Participant must:
a) meet the eligibility requirements specified for a given Conference;
b) complete registration and pay the participation fee. - Information on eligible participants is published on the Website and in the Conference description.
- The Service Provider may verify whether business Users meet participation requirements and may request additional documents or information.
- Conference fees are presented in Polish zloty (PLN) and include VAT and other applicable charges. For business entities, net prices may also be presented.
- Payments are made by bank transfer to the Service Provider’s account.
- If registration data require clarification, the Service Provider may contact the User via e-mail or telephone.
- Failure to pay within the deadline specified on the Website may result in cancellation of the registration.
- Additional paid options, such as meals or accommodation, may also be offered and are described on the Website.
VI. RIGHTS AND OBLIGATIONS OF USERS AND PARTICIPANTS
- Consumers may withdraw from a distance contract within 14 days without giving reasons by submitting a declaration to the Service Provider.
- The right of withdrawal does not apply in cases provided for by the Consumer Rights Act, including accommodation, catering, leisure, cultural, sports, or event services provided on a specified date.
- Users are obliged to:
a) use the Website in accordance with the law and these Terms and Conditions;
b) provide accurate information;
c) update any changes to their data;
d) refrain from using software or devices disrupting the Website;
e) refrain from providing unlawful content. - Consumers may use out-of-court dispute resolution methods, including mediation before the Trade Inspection Authority or the EU ODR platform: http://ec.europa.eu/consumers/odr/
- Only the registered person may participate in the Conference.
- Each Participant receives a personal name badge, which should be worn throughout the Conference for security and organizational reasons.
- In the event of non-attendance, the conference fee is non-refundable.
VII. COMPLAINTS
Users may submit complaints concerning Services provided through the Website.
- Complaints may be submitted in writing to:

or via e-mail: biuro@medisfera.pl - The complaint should include the User’s name, correspondence address, and a description of the issue.
- The Service Provider shall process complaints within 30 days. If additional information is required, the User may be requested to supplement the complaint within 7 days.
VIII. PERSONAL DATA PROTECTION
Personal data provided by Users are collected and processed in accordance with applicable laws and the Privacy Policy available on the Website.
IX. FINAL PROVISIONS
Matters not regulated herein shall be governed by the applicable provisions of Polish law.
